HONG KONG 100 ENTRY PROCEDURES

Pre-registration application (the “Ballot”) for HK100, Charity Places in HK100 and The Grand Sam

Pre-registration is applicable to all registrations except (i) 2023 volunteers, (ii) participants who have done every edition of HK100, (iii) deferred places and (iv) past winners. These 4 categories of participants will receive an email invitation to register for HK100 directly. Please email hk100ultra@gmail.com if you believe you qualify in these categories and have not received an invitation email on 20 August 2023.
 
All dates and times mentioned below refer to Hong Kong time.
  1. Applicants must be at least 18 years old on race day: 20 January 2024.
  2. Pre-registrations will not be allowed on behalf of others. All pre-registrations must be applied for using a unique e-mail address.
  3. You may pre-register as an individual or as a Group (maximum 8 runners per group). When the ballot is drawn all pre-registrations will be assigned a ballot selection order number. All members of a pre-registration group will be assigned the same ballot selection order number, so that members of the group will either all be successful in the ballot or will all be unsuccessful. You are only allowed to pre-register once. You are not allowed to pre-register as an individual and as a member of a group. To register as a group, each group member should enter exactly the same group name. This name must be identical for each group member and cannot be changed after ballot application.
  4. Duplicate applications will not be allowed and such applications will be deemed invalid.
  5. All applicants must register their names using the English alphabet.
  6. Applicants for Charity Places should complete the pre-registration form accordingly. There are 150 Charity Places available. The cost is HKD4680 of which HKD3000 will be donated to charity. Applicants for Charity Places will still be included in the ballot for regular places in HK100. If there are less than 150 applicants remaining for Charity Places after regular Ballot slots have been drawn, then all remaining applicants will receive a link to register for a Charity Place. If there are over 150 applicants for Charity Places then a further ballot will be drawn to select the remaining number of successful Charity Place applicants. All successful applicants will receive an email on Friday 25 August 2023 with their registration link and must register before 23:59 on Tuesday 29 August 2023.
  7. Applicants for the Grand Sam (all 3 events) should complete the pre-registration form accordingly. There are 50 Grand Sam places available. The cost is HKD2980. If there are less than 50 applicants for Grand Sam places then each applicant will receive a link to register for the Grand Sam. If there are over 50 applicants for the Grand Sam then a further will be drawn to select 50 successful Grand Sam applicants. Successful applicants will receive an email on Friday 25 August 2023 with their registration link for the Grand Sam and must register before 23:59 on Tuesday 29 August 2023.
  8. All ballot applicants must pre-register online before 23:59 on Sunday 20 August 2023.   A “Pre-registration” link under “Entry” will be enabled on the HK100 website throughout this period.  
  9. A non-refundable payment of HK$100 is required as a pre-registration application fee. The full proceeds, after deduction of third party payment processing charges, will be donated to charity by HK100. Pre-registrations without payment will be ignored.
  10. A ballot will be drawn.  It will be conducted in accordance with the rules about allocation of places.
  11. Successful applicants will be sent on Friday 25 August 2023 an email invitation hyperlink to register and will need to complete registration before 23:59 on Tuesday 29 August 2023, including payment of an entry fee (HK$1680 for HK100, HK$4680 for a Charity Place and HK$2980 for The Grand Sam), to confirm registration. If registration is not confirmed within this time frame, the invitation will lapse. 

2023 Volunteers and All Year Participants

Volunteers who supported HK100 in 2023, and those who have participated in all (13) previous editions of the race will be offered a guaranteed non-transferable invitation, which will be subject to payment of the normal entry fee and a HK$100 charitable donation.  Such offers will be made by invitation email from Race Timing Solutions to be sent on Sunday 20 August 2023. The registration period will be from Sunday 20 August to 23:59 on Wednesday 23 August 2023. These invitations will expire at 23:59 on Wednesday 23 August 2023.


Deferred Entries

Runners who have deferred entries will receive an invitation email from Race Timing Solutions to be sent on Sunday 20 August 2023. The registration period will be from Sunday 20 August to 23:59 on Wednesday 23 August 2023. These invitations will expire at 23:59 on Wednesday 23 August 2023.​ Any deferred entries not taken up this year will lapse without refund.

Allocation of Places
 
  1. 150 places will be reserved for Elite trail runners, meaning those who reasonably expect to complete the race in under either 13 hours for men or 16 hours for women. An ITRA Performance Index of at least 650 for men and 550 for women is proof of Elite status for these purposes. Elite runners will be entitled to start in the Elite Zone at the start line, in front of other participants.   
  2. A participant who wishes to be considered for Elite status must provide their result in a previous edition of HK100, their ITRA ranking (see www.i-tra.org), and/or other results or information that may be considered relevant. For the avoidance of doubt, interested Elite runners should apply through pre-registration and subsequently complete registration, in the same way as other applicants.  
  3. 150 places will be reserved as Charity places.
  4. 350 places will be reserved for residents of Hong Kong.
  5. When conducting the pre-registration ballot, if the number of applicants holding a passport of any given country exceeds 15, then a minimum of 15 registration places will be allocated to participants from that country. If the number of applicants from any given country is 15 or less, then all will be accepted for registration.
  6. These principles are for guidance only - if the organisers consider it appropriate for any reason to allocate places in the race on a different basis, they may do so.

Ballot Application Result Enquiries
 
  1. All enquiries about ballot application status should be sent to Race Timing Solutions (“RTS”) at info@racetimingsolutions.com after 25 August. Such enquiries received on or before 25 August will be ignored.
  2. Due to the huge number of emails received during the registration period, please note that enquiries about ballot results received by RTS might not be answered promptly. We ask for your understanding. Thank you.
  3. When making enquiries about ballot application status, please be sure to quote your ballot application ID, provided in the ballot application confirmation e-mail sent to you.

THE HALF & THE THIRD ENTRY PROCEDURES

Registration opens at 09:00 on Saturday 26 August 2023 for each event. First come first served.

PAST WINNERS

Past winners of each distance and the top 3 finishers of the 2023 edition of each race (“Past Winners”) will receive an invitation email from Race Timing Solutions to be sent on Sunday 20 August 2023. This will include a link to register for free for HK100. Past Winners may choose to participate in any distance (ie HK100, The Half, The Third or The Grand Sam) if they prefer, in which case they should select the relevant option in the registration form.

FEES AND DONATIONS
  1. HK100 Pre-registration application fee: HK$100 (for charitable purposes).
  2. HK100 normal entry fee: HK$1680.
  3. HK100 charity place entry fee: HK$4680 (of which HK$3000 will be donated to charity by HK100).
  4. The Half: Entry fee of HK$880 + charitable donation of HK$50
  5. The Third: Entry fee of HK$680 + charitable donation of HK$50
  6. Grand Sam entry fee: HK$2980

NO REFUND OR CANCELLATION
  1. The ballot registration fee for HK100 is a charitable donation and cannot be refunded.
  2. Confirmed registrations for all events cannot be cancelled, deferred or refunded.

NO TRANSFER
 
  1. Confirmed registrations are not allowed to be transferred or deferred.
  2. If a confirmed registrant allows somebody else to use their race bib, the participant will be disqualified and both the registrant and participant will be blacklisted from registration for future editions of the race.
 
EVENT CANCELLATION POLICY
 
The organisers reserve the right to cancel or cut short the event for the following reasons:
  • adverse weather conditions
  • landslides, rockfalls or hill fires along the course
  • protests or blockage along the course
  • force majeure i.e. due to occurrence of incidents that are beyond the control of the organiser and which renders it impossible, unsafe or impractical to hold the event.  A force majeure event shall include, but is not limited to, act of God, war, hostilities, invasion, rebellion, revolution, insurrection, riot, protests, commotion, strikes, go-slows, lock outs, blockage or disorder, blocked or inaccessible roads or trails, outbreak of disease, acts or threats of terrorism.
In such event no refund of the registration fee (and any charitable donation) will be provided.
